Travel Documentation

Travel Document Information:

As we near departure, Redhawk Texpeditions Travel Team members and EF staff will reach out to all travelers in order to verify certain information already on file and also to seek additional information our overseas vendors require in advance of our arrival.
Alcohol Acknowledgement Form
Though the moderate consumption of alcohol among adolescents remains an accepted cultural convention throughout much of Continental Europe, such consumption among our minor travelers remains at the sole discretion of each student traveler’s parent(s) or guardian(s). A parent or guardian of each minor student traveler will therefore be asked to sign and initial an Alcohol Acknowledgement Form during our final pre-departure meeting.

Parental Authorization Form
Given enhanced efforts to deter human trafficking, the country (or countries) on our itinerary may require travelers under the age of 18 to present a Parental Authorization Form at the airport or when checking into hotels indicating that the participant has permission to travel with the group. Custodial parent(s) or guardian(s) of each minor student traveler attending our final pre-departure meeting will therefore be asked to present a government-issued photo ID and sign a Parent Authorization Form in the presence of our Group Leader, who is an authorized notary public. There is no fee for the notary service.

You'll receive a Parental Contact Form via email a week or two prior to the final pre-departure meeting, the completion of which will facilitate the authorization process.​

Transport and Rooming Request Form
At some point prior to departure, all travelers will be asked to submit transport and rooming requests. The timing and distribution of transport requests will ultimately depend upon the travel group's size. Should a transport request be necessary, travelers may be asked to select from among multiple over-the-road coaches for in-country transport, as well as from multiple aircraft itineraries.

Rooming is governed by the configurations available at each location on tour; however, this information is often not communicated until approximately 21 days prior to departure. Student travelers, therefore, are asked to submit preferences for two-, three-, and four-person rooms by gender; adult travelers are always accommodated in two-person rooms. As the comfort and well-being of our travelers is a prime consideration, these requests may be changed at any time, to include while on tour.

Please note that regardless of this advance preparation, adjustments and alterations to our rooming lists are inevitably necessary, even while underway.

Traveler Datasheet
Each Travel Team Member will have immediate access to an electronic copy of our travelers’ vital information at all times. The Traveler Datasheet files carried include passport and traveler contact information, emergency contact information, all vital medical and pharmaceutical information, as well as a color photocopy of the traveler's passport signature page.

Traveler Input Form
Approximately 90 days prior to departure, all travelers receive an email requesting they fill out the Traveler Input Form, which will gather the vital safety information necessary to complete each traveler's profile.
